The Sunday-Night Results Email Nobody Sent

You promised final results by Sunday night. It is now Tuesday. You haven't sent them. You haven't updated the website. Parents are asking. Coaches are asking. You are exhausted and you still have certificates to print. This is the quiet reason a lot of organisers stop running events.

Post-event admin is where organisers burn out

The event itself is adrenaline. The post-event is a slog, done alone, on a weeknight, unpaid. Results, photos, certificates, invoices, feedback, incident reports, the leaderboard update, the thank-you email. Every one is optional-seeming and every one matters.

Why it doesn't get done

Because none of it was automated. If the results are in a spreadsheet, you have to re-format them for the website. If photos are on five phones, you have to collate them. If certificates are a Word mail-merge, you have to build it. Every task is a small project. After a 14-hour event, none of them get started.

The three things that fix it

1. Results auto-publish. When you mark the event complete in the system, results go live on the public page and an email goes to every registered parent. No extra work.
2. Certificates auto-generate. The system knows who placed. Template plus data equals 150 PDFs ready to email. One click.
3. Photos live on one URL. You shared it with your photographers before the event. They uploaded during the day. The URL goes out Sunday by default.

The "why does this matter" test

A parent whose child placed bronze on Saturday and got an email with results, a certificate and a photo link on Sunday — that parent will enter your next event. A parent who got none of that by Tuesday will not. Post-event admin is retention.

What you should not do

Do not write the post-event email from scratch. Do not hand-edit certificates. Do not reply individually to parent queries. Every one of those is a tool's job.
